Bank Definitions

This screen is used to define the commission rates, deductions and payment periods applied by the bank for collections made by the business's credit card.

BANK IDENTIFICATION SCREEN

This screen is used to define the banks you work with in your ERP system. For example: Ziraat Bank, Garanti BBVA, İş Bank etc. ​

Without this definition:
  • ​You cannot make a money transfer
  • Credit card transactions are not linked
  • ​Bank reports do not work
  So here = the basis of all banking transactions   Field Descriptions:   1. Bank Code: It is the unique code given for each bank. Example: • 001 → Ziraat • 002 → Garanti   2. Bank Name: This is the name of the bank that will appear in the system. Example: “Ziraat Bankası”, “Garanti BBVA”   3. e-Bank:If bank integration will be used, the relevant bank service is selected here. It is used for automatic transaction withdrawal (account statement, etc.) transactions.   4. e-Banking Username:This is the username used for bank integration. It is not normal user information, but technical connection information.   5. e-Bank Password: It is the password used in integration processes. ​ 6. e-Bank Account Number:This is the account number or IBAN information to be used in the integration.

BANK ACCOUNT CARD IDENTIFICATION SCREEN

This screen is the area where real accounts (IBAN, account number, etc.) of defined banks are added to the system.   Field Descriptions:

1. Code:The unique code given for the account. Example: 23, 1001 etc. ​

2. Name:The name of the account that will appear in the system. Example: “Ziraat TL Account”, “Garanti POS Account” ​

3. Bank:The bank to which the account belongs is selected. Predefined banks are listed. ​

4. Bank Branch:The bank branch to which the account is linked. ​

5. IBAN: It is the international account number. It is the most critical area in money transfers. ​

6. Account Name:The official name of the account on the bank. It is usually the company name or account description. ​

7. Account Number:This is the account number in the bank. It can be thought of as a shorter version of IBAN. ​ 8. Branch:Indicates the branch to which this account is linked within the ERP system. It is important in companies with multiple branches. ​

9. Status:Determines whether the account is active or inactive. Transactions cannot be made with accounts that are inactive.     Sub Tabs:

  • General Information: This is the tab that contains basic information about the account.
  • Credit Card Rates:> This is the field where the commission rates to be applied in POS transactions are defined. Example: 2.5% deduction
  • Bank Transactions: This is the section where all money inflows and outflows for this account are listed.
  • Foreign Exchange Movements: This is the area where foreign exchange-based transactions are followed.
  • Accounting Codes: This is the section where the account is associated with accounting accounts. It is critical for finance and accounting integration.
  • POS Blocking: This is the area where the transfer time of credit card collections to the account is defined. Example: It will be transferred to your account after 1 day
  • e-Bank: This is the tab where bank integration settings are made.

GENERAL INFORMATION SCREEN

This screen is used to define the detailed information and initial financial status of the bank account card. On this screen, not only account definition is made, but also critical information such as: • Contact information • Account type • Starting balance (transfer) is also entered.   Top Section (Contact and Cookie Information):

1. Related: Information about the person dealing with the bank. Example: “Ahmet Yılmaz (customer representative)” ​

2. Phone:This is the phone number of the bank or branch. ​

3. GSM: It is a mobile phone number. ​

4. Fax:Fax number. Although it is rarely used today, it is available in some companies. ​

5. Information:This is a free description area. Example: “This account is used for POS transactions” ​ 6. Transaction Currency:Specifies the currency in which this account will operate. Example: TRY, USD Usually an account works with a single currency. ​

7. Account Type:Determines the usage type of the account. Example: • Commercial Account • POS Account • Current Account     Lower Section (Transfer and Balance Information): These fields are critical because they determine the starting balance of the system. ​

8. Transfer Debt:The amount the account initially owes. It can be thought of as money coming out of the bank. ​

9. Transfer Receivable:The amount that the account will initially receivable. It can be thought of as the current balance in the bank. ​ 10. Exchange Rate: If the account is in foreign currency, the exchange rate information to be used is entered. ​ 11. Debt: Shows the total debt amount of the account. ​

12. Receivable: Shows the total receivable amount of the account. ​

13. Balance: Shows the net balance of the account.

CREDIT CARD RATES SCREEN

This screen is used to define the commission rates, deductions and payment periods applied by the bank for collections made by the business's credit card.

Separate rates can be determined for single withdrawal and installment transactions. In addition, the number of days after which the bank will transfer the payment to the account and the repayment plans are checked on this screen.

Field Descriptions:

1.Single Payment Rate (%): It is the commission rate applied by the bank in single withdrawal (without installments) transactions.
For example, when 2% is entered, there will be a 20 TL deduction for 1000 TL sales, it is generally a low rate.

2nd Installment Payment Rate (%): This is the commission rate applied to sales in installments. It is generally higher than single shot. It may vary depending on the bank.

3.Service Fee VAT (%): It is the VAT rate calculated on the commission received by the bank.
In Turkey, it is generally applied as 20%. It increases the total cost.

4.Other Bank Card Deduction Rate (%): This is the additional deduction rate applied to transactions made with cards of different banks.  It may be valid for cards other than the bank to which the POS belongs. It is an optional field.

5. Maximum Number of Installments: Determines the maximum number of installments that can be offered to the customer.
For example, if 12 is entered, a maximum of 12 installments can be made.

6. How many days will it take for the payment to be credited to the account:Indicates how many days it will take for the bank to transfer the collected amount to the business's account.
Example:
1 → the next day
7 → 1 week later

Refund Options:

7.Repayment Method:Determines how the payment to be received from the bank will be transferred to the account:

    • To be taken at once → The entire payment is transferred to the account in one piece
      • To be taken from the repayment table → Transferred according to the predefined plan
      • To be taken from the installment table → Each installment is transferred to the account separately

Sub Table (Installment Rates / Repayment Plan):

8. Number of Installments: Indicates how many installments will be made. Example: 3, 6, 9, 12

9.Commission:This is the special commission rate to be applied for the relevant installment, it may differ from the general rate.

10th Point: It is the point or bonus rate given according to bank campaigns, usually optional.

11.Total Deduction:It is the sum of commission and other deductions, it can be calculated automatically by the system.

Day 12: Indicates how many days it will take for each installment to be credited to the account.
    Example: Payment will be received after 30 → 30 days.

This screen is the area where the commission rates, installment options and payment terms applied by the bank for sales made by credit card are defined. Single withdrawal and installment transactions can be determined separately, and the process of transferring the collected amounts to the account is controlled on this screen.

BANK TRANSACTIONS SCREEN

This screen is the area where all money inflow and outflow transactions of bank accounts can be displayed and filtered.

All financial transactions such as money transfer, EFT, collection and payment are tracked in detail on this screen. Users can quickly access the movements they want by searching with certain filters.     Top Filter Fields:   1. Date: Range Determines the date range of bank transactions to be displayed. Filtering is done by entering the start and end date. Example: Used to get monthly reports.   2. Transaction Type:Used to select the type of transactions to be listed. Example: Money Order, EFT, Collection, Payment etc. When “All” is selected, all transactions are listed.   3. Find (Button):Used to list data according to the entered filters. It must be clicked after filtering.   4. Show Details (Button): Used to display detailed information of the selected transaction. It usually leads to the relevant transaction slip.     List Field (Table):   5. Transaction Location:Indicates which bank or account the transaction was made through. Example: Ziraat Bank, Garanti Bank   6. Transaction Type:Indicates the type of transaction performed. Example: Money Order, EFT, Transfer, Collection   7. Date:The date the transaction took place.   8. Amount:The total monetary value of the transaction. ​ 9. Description:This is the explanation information entered regarding the transaction. Example: “Customer payment”, “Supplier payment” ​ 10. Debt:Shows the amount of money coming out of the account. It represents the outflow of money.   11. Credit:Shows the amount of money entering the account. It represents the inflow of money. ​ 12. Balance: Shows the amount remaining in the account after the transaction. It is important for current balance tracking. ​ 13. Type:Indicates the financial category of the transaction within the system. It is used for reporting and classification. ​ 14. Document ID: It is the document number created in the system for the transaction. It is used for tracking and control. ​ 15. Collection Status:Indicates whether the transaction has been collected or not. Example: Collected, pending ​ 16. Due Date:Indicates the due date of payment or collection. It is critical for futures trading.     This screen is a structure where all financial transactions of bank accounts are listed and filtered. Users can search by date and transaction type, view transaction details, and track account balance in real time.

CURRENCY TRANSACTIONS SCREEN

This screen is the area where all financial transactions made in foreign currency (foreign currency) pertaining to bank accounts are displayed.

Currency-based debit, receivable and balance tracking is done on this screen. Users can examine the relevant currency movements in detail by filtering according to the selected currency.     Top Area:   1. Currency:Determines the currency in which the transactions to be displayed will be. Example: USD, EUR, GBP The list is updated according to the selected currency.   2. Find (Button): Used to list foreign exchange movements according to the selected currency. After applying the filter, it should be clicked.     List Field (Table):   3. Transaction Location: Shows the bank or account information where the transaction was made. Example: Garanti Bank USD Account   4. Transaction Type:Indicates the type of transaction performed. Example: Money Transfer, EFT, Collection, Payment   5. Date:The date the transaction took place.   6. Amount:The amount of the transaction in TL or the main currency defined in the system.   7. Description: This is the explanation entered regarding the transaction. Example: “Overseas payment”, “Foreign currency collection” ​ 8. Foreign Currency Debt: Shows the amount debited from the account in foreign currency. It represents the outflow of money. ​ 9. Foreign Currency Receivable: Shows the amount entered into the account in foreign currency. It represents the inflow of money. ​ 10. Foreign Exchange Balance: Shows the remaining amount in the foreign currency account after the transaction. It is used for foreign currency based balance tracking. ​ 11. Type:Indicates the financial category of the transaction within the system. It is used for reporting and classification. ​ 12. Currency:Indicates the currency type in which the transaction was made. Example: USD, EUR  

Subtotal Fields:

13. Debt:Shows the total foreign exchange outflow in the listed transactions. ​ 14. Receivable:Shows the total foreign currency inflow in the listed transactions. ​ 15. Balance:Shows the total remaining balance according to the selected currency type.   ​

This screen is an area where bank transactions made in foreign currency can be tracked and filtered. By selecting a specific currency, users can examine the debit, credit and balance movements of that currency in detail and view the total amounts.

ACCOUNTING CODES SCREEN

This screen is used to determine which accounts the bank account transactions will be recorded in the accounting records.

Matching of financial transactions with the correct accounting accounts is done through this field. Thus, every transaction made is automatically reflected in the relevant accounting account and reporting is created correctly.  

NOTE

The codes selected in these fields are generally selected from the accounting chart of accounts. If the wrong code is selected, accounting records will be created incorrectly. Therefore, these definitions are generally made by people with accounting knowledge.   This screen is the area where the account codes used for the integration of bank accounts into the accounting system are defined. All financial transactions are automatically processed into the relevant accounts according to the accounting codes specified here and correct accounting records are created.

ACCOUNTING SUBCHECKS SCREEN

This screen is the area where the checks received and given by the business are listed and tracked in detail. The maturity dates of the checks, their amounts, the current account they are related to and their current status are monitored on this screen. It is an important screen for controlling deferred collection and payment processes.   Upper Filter Area:

1. Status: Allows filtering according to the status of the checks. Example: All, Collected, In Portfolio, Unpaid, etc. It is used to list checks in a certain status. ​ 2. Find (Button):Used to bring up the check list according to the selected filter. After applying the filter, it should be clicked. ​   List Field (Table):

3. Client Name: Shows the customer or supplier information to which the check belongs. This is how it is understood from whom the check was received or to whom it was given. ​ 4. Maturity Date:The date on which the check will be collected or paid. It is one of the most critical areas in check tracking. ​ 5. Serial Number:The serial number of the check given by the bank. It is unique for each check and is used for tracking purposes. ​ 6. Amount:The monetary value of the check. Example: 10,000 TL ​ 7. Check Status:Indicates the current status of the check. Example: • In the portfolio (not yet collected) • Collected • Unpaid • Endorsed ​ 8. Portfolio Number:The portfolio number where the check is registered in the system. It is used to track checks in groups.   Checks should be monitored regularly because they involve financial risk. Overdue checks should be especially checked. Incorrect status updates can lead to financial errors. ​ This screen is an area where the company's checks are tracked with their current, maturity, amount and status information. Users can filter checks according to their status and effectively manage deferred payment and collection processes.

COLLECTION / GUARANTEE CHECK-BILL SCREEN

This screen is used to keep track of checks and bills belonging to the business for collection or collateral purposes. Maturity, amount and status information of checks and bills received based on current accounts are displayed on this screen. In addition, the transactions associated with these documents and portfolio information are also tracked here.   Top Area:   1. Find Transactions (Button): This is the search button used to list check and promissory note transactions. It is used to view all records or specific transactions.   List Field (Table):

2. Check / Bill of Exchange:Indicates whether the transaction is a check or bill of exchange. Indicates the type of document. ​ 3. Client Name: This is the customer or supplier information to which the check or bill belongs. Indicates which current account the transaction is associated with. ​ 4. Maturity Date:The date on which the check or promissory note will be collected. It is a critical area for futures trading. ​ 5. Transaction Number: It is the registration number of the check or promissory note transaction in the system. It is used for tracking and querying. ​ 6. Amount:The monetary value of the check or promissory note. ​ 7. Check / Bill Status: Shows the current status of the document. Example: • In the portfolio • Collected • As collateral • Uncovered ​ 8. Payroll Description:This is the description information of the payroll to which the check or bill is linked. Provides additional information about the process. ​ 9. Portfolio Number: It is the portfolio number where the check or promissory note is registered. It is used for group tracking.     Guarantee checks are generally not collected and are kept for security purposes only. Collection checks are collected by giving them to the bank on maturity. Making this distinction correctly is important for the accuracy of financial records.   This screen is an area that allows tracking of checks and bills belonging to the business for collection or collateral purposes. Users can view check and promissory note information on a current basis, follow up on maturity and status information, and keep financial processes under control.

POS BLOCKING SCREEN

This screen is the area where the amounts arising from sales made with credit card (POS) and which have not yet been transferred to the account by the bank (pending in the block) are tracked. The date on which POS transactions will be collected, which current account they are related to and the amount information are displayed on this screen. Thanks to this screen, businesses can plan future payments to the account.   Top Area:

1. Find Transactions (Button):Used to list POS blockage records. Click to view all records or current transactions.   List Field (Table):

2. Branch: Shows the branch information where the transaction was made. It indicates at which point the transaction is made in multi-branch businesses.   3. Client Name:This is the customer information to which the transaction is related. It shows which current account the POS sale is related to.   4. Transaction Date:The date the POS transaction took place. It can be considered as the day of the sale.   5. Transaction Number: It is the number created in the system for the POS transaction. It is used for tracking and querying.   6. Maturity Date:The date on which the bank will transfer the POS collection to the business account. It refers to the date when the blockage will be resolved.   7. Document No: It is the voucher or document number of the transaction. It is important for accounting and reporting.   8. Amount:The amount to be collected for the POS transaction.   9. Description:This is an additional information or note field about the transaction. Example: “Credit card sales transaction”     POS transactions can generally remain blocked for 1-30 days. This screen is very important for cash flow planning. Transactions with approaching maturity dates should be checked regularly. ​

This screen is the area where the amounts arising from sales made by credit card and not yet transferred to the account are tracked. The cash flow of the business can be planned by viewing the maturity dates and amount information of POS transactions.

E-BANKING STATUS SCREEN

This screen shows the connection status of the bank account with e-Bank (internet banking integration) and is used to manage it. Data exchange between the ERP system and the bank (transaction withdrawal, balance inquiry, etc.) is ensured thanks to this integration. Whether the account is active or passive is controlled from this area.   Field Description:

Status
  • Determines whether e-Banking integration is active or not.
  • ​The options are usually:
  • Active → Integration with the bank is on, data is exchanged.
  • ​Passive → Integration is disabled, bank transactions will not be withdrawn automatically.
  Note
  • ​When active, the system can automatically capture bank transactions.
  • In the passive state, transactions must be entered manually.
  • ​Incorrect use may result in missing data or incorrect records.
  ​

This screen is the area where the e-Bank integration status of bank accounts is checked. When the account is active, automatic data exchange is provided with the bank, while in the inactive state, transactions are tracked manually.

BANK BRANCH NEW REGISTRATION SCREEN

This screen is the area where bank branch information is defined and managed in the system. The branches of the banks where the business works are recorded here. When branch information is entered correctly, bank transactions and financial records are tracked more regularly and accurately.   Branch Information Area:   1. Bank:The bank to which the branch is affiliated is selected. Example: Ziraat Bank, Garanti BBVA   2. Branch: Code is the official code of the bank branch. It is usually determined by the bank. Example: 1234   3. Branch Name:The name of the branch. Example: Kadıköy Branch   4. Related:The name of the authorized person to contact at the branch. Bank representative information can be entered.  

Contact Information Area:

5. Relevant Title:The duty or title information of the authorized person. Example: Customer Representative, Branch Manager   6. GSM:This is the mobile phone number of the authorized person.   7. Telephone:This is the landline telephone number of the branch.   8. Fax:The fax number of the branch. Although it is rarely used today, it is necessary for some operations.   9. Address:The full address of the bank branch.   10. e-Mail: This is the e-mail address of the branch. It is used for communication and official correspondence.  

When branch information is entered incompletely or incorrectly, confusion may occur in bank transactions. In particular, bank selection and branch code must be entered correctly. This information is important as it is used as a reference in financial transactions.

  This screen is the area where bank branch information is defined and contact information is recorded. Thanks to the branch information entered correctly and completely, bank transactions can be followed regularly and accurately in the system.
