CASH CARD IDENTIFICATION SCREEN

Cash Card Identification screen is the area where cash registers used in the business are defined into the system. By creating a separate record for each safe on this screen, cash in and out transactions and balance tracking can be done on a cash basis.   ​ Field Descriptions:   ​ 1. Code:It is the unique code information of the safe. Safe identification within the system is done with this code. ​ 2. Name:The name of the safe is entered. Example:​
    • Central Vault
    • ​USD Safe
    • ​Branch Cash Box
3. Accounting Chart of Accounts:The accounting account linked to the cash book is selected. In this way, cash transactions are automatically reflected in accounting. ​ 4. Branch:The branch to which the cash register is affiliated is selected. It is important for cash tracking in multi-branch structures. ​ 5. Transaction Currency:Determines which currency type the cash register will work with. Example:
    • ​TRY
    • ​USD
    • ​EUR
1. Transfer Date (Debt):It refers to the date when the safe was opened with the debt balance. Generally, the beginning of the year or the system start date is entered.   2. Transfer Debt:It is the amount of debt that the cash register has at the beginning. It can be considered as a safe entry (there is money).3. Transfer Amount:It is the monetary equivalent of the transfer transaction entered. It creates the starting balance of the cash register in the system. ​ 4. Transfer Currency:Indicates the currency in which the transfer is made. Example: TRY, USD, EUR ​ 5. Transfer Rate:If there is a foreign currency transaction, that day's exchange rate information is entered. The TL equivalent is used in the calculation. ​ 6. Transfer Date (Receivable):It refers to the date when the safe is opened with the receivable balance. ​ 7. Takeover Receivable:This is the amount of the cash initially defined as receivable. It can be thought of as a cash register exit (money missing). ​ 8. Debt:Shows the total of all debt transactions made through the cash register. ​ 9. Receivable:Shows the total of all receivable transactions made through the cash register. ​ 10. Balance:Indicates the current status of the cash register.  Calculation logic: Balance = Debit – CreditGeneral Logic

CASE MOVEMENTS

Parent Fields:   1. Date Range:Start Date, End Date Used to list cash transactions within a certain date range.   2. Transaction Type:Filtering is done according to the type of cash transactions. Example:
    • Collection
    • Payment
    • Transfer
    • All
  3. Find Button:Used to list cash transactions according to the selected filters.   4. Show Details Button:Opens the detailed view of the selected movements.    

List Area (Grid) Columns:

5. Processing Location:Indicates the module or source area where the processing takes place. (Ex: Current, Cash, Bank)   6. Transaction Type:The type of transaction performed is specified. (Ex: Collection, Payment)   7. Date:The date information on which the transaction took place.   8. Document Number:The reference or document number of the transaction.   9. Amount:Shows the transaction amount.   10. Description:This is the description information entered regarding the transaction.   11. Foreign Currency Debt:Indicates the amount entered into the cash register in foreign currency.   12. Foreign Currency Receivable:Indicates the amount coming out of the cash register in foreign currency.   13. Foreign Currency Balance:Shows the foreign currency balance after the transaction.   14. Type:Specifies the general category of the transaction.   15. Cash Code:The safe code to which the transaction belongs.   16. Cash Name:The name of the cash register to which the transaction belongs.   17. Location Type:Indicates the type of module the transaction comes from.   18. Location ID / Ref ID / Document ID:These are the reference and connection IDs of the transaction within the system.

CASH TRANSACTION TYPES (COLLECTION / DISPOSAL / DELIVER)

Cash transactions are used to track the cash inflows and outflows of the business. These operations are divided into 3 main categories:   1. Cash Collection (Money Input) Cash collection process is used when there is money inflow to the cash register. ​

When to use?​
  • When cash is collected from the customer
  • ​When the current receivable is collected
  • When payment is received in cash

Logic Money goes into the safe ->Cash balance increases     2. Cash Disbursement (Money Outflow) Cash disbursement process is used when there is money outflow from the safe.   When to use?
  • ​When cash payment is made to the supplier
  • ​Expense payments (rent, electricity, etc.)
  • ​Personnel payments

Logic Money leaves the safe ->Cash balance decreases     3. Cash Transfer (Cash → Cash Transfer) Cash transfer transaction is used to transfer money from one safe to another.   When to use?
  • ​Central cash register → Branch cash transfer money
  • TL cash → USD cash transfer
  • ​Inter-vault editing

CASH COLLECTION RECEIPT

Cash Collection Receipt is the process used to record cash inflows to the cash register. Generally, collections from customers are entered into the system with this voucher. ​

General Information:

1st Transaction Number: This is the transaction number automatically generated by the system. ​

2.Document Number: It is the external reference number of the transaction (can be entered manually). ​

3.Current: The customer or current account from which collection is made is selected. ​

4.Cash: The safe where the money enters is selected.   ​

Date and Organization Information:

5.Document Date: This is the date of collection. ​

6.Transaction Branch: Indicates in which branch the transaction was made. ​

7.Project: Selected if the process depends on a project (optional).   ​

Amount Information:

8.Amount: It is the principal amount entering the safe. ​

9.Currency: Indicates the currency in which the transaction is made. ​

10.Foreign Exchange Rate: Exchange rate information used in foreign currency transactions. ​

11.Foreign Currency Amount:Transaction amount in foreign currency.   ​

Additional Information:

12.Explanation: A note or explanation regarding the transaction is entered. ​

13.Cost Center: Cost center to which the transaction belongs (optional). ​

14.Cost Center: Used for detailed cost tracking.   ​

  The purple "Receipt" button at the bottom of the Cash Collection Receipt screen is used to create and print an official or semi-official collection receipt for the collection transaction.

CASH PAYMENT VOUCHER (PAYMENT RECEIPT)

Cash Disbursement Receipt is the screen used to record the cash outflow from the business. In other words, payments made from the cash register are processed into the system with this voucher.   ​ What is it for?
  • ​Records payments made from the cash register
  • ​Follows up payments made to current accounts
  • ​Documents expenses, expenses and cash outflows
  • ​Reduces cash balance
Fields:  

1.Transaction Number: It is the unique transaction number automatically generated by the system.

2.Current: It is the information of the person or company with whom the transaction was made. When this field is selected, the relevant current account is affected.

3.Transaction Branch: Indicates the branch where the transaction is carried out. It is important in multi-branch structures.

4.Amount: It refers to the payment amount coming out of the cash register.

5.Project: It is the project information to which the process is linked (used if available).

6.Document Number: It is the reference number of the transaction or the document number that can be entered manually.

7.Reflect in Installment Payment Plan:Determines whether the payment made will be reflected in the installment plan.

8.Description: This is the detailed explanation field about the transaction (eg: “Personnel advance payment”).

9.Foreign Exchange Rate: It is the exchange rate information used in foreign currency transactions.

10.Foreign Currency Amount:It refers to the transaction amount in foreign currency.

11.Cash:This is the cash account where the payment is made (eg: Central Cash TL).

12.Document Date:The date the transaction was carried out.

13.Currency: Indicates the currency of the transaction (TRY, USD, etc.).

14.Cost Location: It is the location or department information to which the expense belongs.

15. Cost Center: It is the cost center information to which the expense is connected.

   

CASH TRANSFER RECEIPT (INTERCASH TRANSFER)

Cash Transfer Receipt is the process used to transfer money from one safe to another within the business. In this process, the total money does not change, only the distribution among the cash registers changes.   ​ What is it for?
  • ​Allows money transfer between safes
  • ​Regulates cash balances
  • ​Establishes balance between branches or different cash register types
  ​ Basic Logic: ​ One safe decreases (leaving safe) -> The other safe increases (entered safe) ​ Total cash balance does not change ​

Key Areas:

1.Transaction No / Document No: Record number of the transaction ​ 2nd Cash: The safe from which money is withdrawn ​ 3. Transaction Branch: The branch where the transaction took place ​ 4.Amount: Amount of money transferred ​ 5.Project: (If any) associated project ​ 6th Explanation: Transfer description ​

7.Cash (Target): The safe to which the money is sent ​ 8.Document Date: Transaction date ​ 9.Foreign Currency / Foreign Exchange Rate / Foreign Currency Amount: For foreign currency transfers ​ 10.Cost Center: Generally not used (optional)   ​ Usage Scenario ​ Sending money from the head office to the branch cash register -> End of day cash arrangement -> Transfer between different foreign exchange cash registers

ÖKC TRANSACTIONS (PAYMENT RECORDER DEVICE TRANSACTIONS)

The ÖKC (Payment Recording Device) transactions screen is used to track and report sales and collection data regarding the cash register / POS devices used in the business.   What is it for?

  • ​Displays cash register (CHC) sales
  • ​Follows daily Z reports
  • ​Analyzes cash and credit collections
  • Provides device-based sales control

  1.Code / Name: Description of the ÖKC device   2.Registry Number: Official registration number of the device   3.API Key: Key used for integration (if any) ​

4.ÖKC Type: Device type (cash register, POS, etc.)   5th Safe: The safe it is connected to ​
